Privacy policy

How we use personal data when you visit this site or get in touch with us, and when you’re named in one of our leads or receive a letter we send for an auction house.

Last updated: 28 October 2026

1. Who we are

TitleSignal is a trading name of Team Dimensions Ltd. Team Dimensions Ltd is the controller of the personal data this policy describes, which means we decide how it’s used. “We”, “us” and “our” mean Team Dimensions Ltd.

  • Registered in England and Wales, company number 08348964
  • Registered office: 128 City Road, London, EC1V 2NX
  • Email: [email protected]
  • Registered with the Information Commissioner’s Office (ICO), number ZC238097

2. Details you give us

When you ask for sample leads, our form asks for your name, your auction house, your work email address and the area you cover. You can also give us your phone number, and tell us you’d like a short call.

When you ask about a letter campaign, our form asks what you’d like, your name, your business and your work email address. You can also give us your phone number and a message.

When you email us, we receive your email address, your message and anything else you include.

3. How we use them

We use the details you give us to:

  • prepare and send the sample leads you asked for;
  • plan and quote for any campaign you ask about;
  • answer your questions, talk to you about your sample and TitleSignal, and arrange a call if you asked for one; and
  • keep a record of what we’ve sent you and what we’ve agreed.

The law allows this because it’s in our legitimate interests, and yours, for us to answer your request and follow it up. If you go ahead with a campaign or a subscription, we also use your details to provide it, as part of our agreement with you. You can object at any time (section 10).

We won’t add you to a mailing list unless you ask us to, and we never sell your details or give them to anyone else for their own marketing.

4. When you visit the site

Hosting and security

Cloudflare hosts this site. To show you its pages and protect it from attacks, Cloudflare processes your IP address and the details your browser sends, such as its type and version.

Page statistics

We use Cloudflare Web Analytics to count visits and see how quickly our pages load. It doesn’t use cookies or store anything on your device, and Cloudflare says it doesn’t collect or use visitors’ personal data.

Checking you’re a person

When you start filling in the sample-leads form, the page loads Cloudflare Turnstile, which checks that you’re a person rather than an automated program. To do this, Cloudflare looks at signals from your browser and connection, such as your IP address and browser details. Cloudflare uses them to run the check for us, and also, as a controller in its own right, to improve Turnstile. Cloudflare’s Turnstile privacy addendum explains more.

Apart from these Cloudflare services, our pages load nothing from other websites. Our fonts and images come from our own site.

5. Cookies

We don’t use cookies for statistics or advertising, and we don’t use any advertising or tracking tools. Cloudflare may set cookies that are strictly necessary to keep the site secure, such as cookies that help it spot bots; Cloudflare’s cookie policy lists them. These don’t need your consent, because they’re needed to keep the site secure.

6. People named in our leads

TitleSignal tells auction houses about properties that may have to be sold, such as properties owned by companies in receivership, administration or liquidation, and properties in the estates of people who have died. Each lead says why the property may be sold and who is handling the matter, so that the auction house can contact them.

Where the information comes from

We build leads from public records and property listings, including:

  • Companies House: companies, their officers and filings, and insolvency appointments;
  • HM Land Registry: properties owned by companies;
  • The Gazette: official notices, such as insolvency appointments and notices about deceased estates;
  • probate records; and
  • property listings.

Who appears in a lead

Mainly the people handling a matter in a professional role, such as receivers, administrators, liquidators, lenders, estate agents and the solicitors acting for an estate, with their firm and work contact details. A lead can also mention a company’s directors or shareholders where that explains the lead, and the name of a person who has died when their estate owns property.

TitleSignal is not for contacting homeowners or bereaved families, and we never include family members’ details.

Letters we send for auction houses

When an auction house asks us to run a letter campaign, we use the information in leads to write to the people handling those matters, on the auction house’s behalf. We write only to people acting in a professional role, at their work address, and only with letters the auction house has approved. Each letter says who it’s from and how to ask not to be written to again.

If you’d rather not receive these letters, tell us (section 10) or the auction house that wrote to you. We’ll stop, and we keep a short record of your request so that we don’t write to you again. Replies go to the auction house, which handles them under its own privacy policy.

Why the law allows it

We rely on legitimate interests: ours, and those of the auction houses we work with, in finding properties that may need to be sold and contacting the professionals handling them, including by letter. The information is already public, we use only what a lead or a letter needs, and we stop whenever someone objects.

Who receives it

Auction houses that use TitleSignal or ask us for sample leads, and the printing and mailing company that posts campaign letters for us. Our terms require auction houses to keep sample leads confidential and to follow the law when they make contact.

If you’re named in a lead, you can ask what we hold about you, ask us to correct it, or object to our using it (section 10).

7. Who we share data with

We use these service providers, who act on our instructions:

  • Cloudflare, for website hosting and security, page statistics and the Turnstile check;
  • Postmark, which delivers the emails our site sends, such as your request for sample leads;
  • a printing and mailing company, which prints and posts the letters in our campaigns; and
  • the providers of our email and office software.

We may also share information with our professional advisers, such as lawyers and accountants, and with authorities where the law requires it. We don’t sell personal data.

8. Transfers outside the UK

Cloudflare and Postmark are based in the United States and may process personal data outside the UK. When they do, we rely on safeguards recognised under UK law, such as the UK Extension to the EU–US Data Privacy Framework or the UK International Data Transfer Agreement. Email us if you’d like details.

9. How long we keep data

  • Requests for sample leads, campaign enquiries, and our emails with you: up to two years after we were last in touch, unless you become a customer.
  • Information in leads: only while it’s relevant to a possible sale. We update or remove it when the public record changes.
  • Records of campaign letters, showing who we wrote to and when: up to two years after the campaign ends.
  • Requests not to be written to: for as long as we run campaigns, so that we don’t write to you again.
  • Cloudflare and Postmark keep their own technical records, such as security and email delivery logs, for limited periods.

10. Your rights

Under UK data protection law, you have the right to:

  • ask for a copy of the personal data we hold about you;
  • ask us to correct it if it’s wrong or incomplete;
  • ask us to delete it, or to limit how we use it;
  • object to our using it, including for marketing, which we’ll always stop; and
  • in some cases, ask for your data in a form you can take elsewhere.

To use any of these rights, email us with “Privacy request” in the subject line. We’ll reply within one month, and there’s normally no charge.

11. Complaints

If you’re unhappy with how we’ve used your data, please tell us first, so that we can try to put it right. You can also complain to the Information Commissioner’s Office, at ico.org.uk or on 0303 123 1113.
